1. Unlock Your Data in Dynamics 365 Business Central with Convenient Table Mapping  

The Table Mapping capabilities within the SharePoint Connector have been enhanced giving you more control over configurations on how you want to map data from Dynamics 365 Business Central to SharePoint for your organization. There are two improved key table mapping options in the SharePoint Connector: 

  • Name Number: This type of table mapping is best for static entities such as a customer or bank account tables that don’t typically get deleted as these have associated transactions.  
  • Reference Number: This type of table mapping is best for data that changes (e.g., G/L entry, customer ledger entry etc.).  

When a table has been mapped, the SharePoint box will appear within the folder on Dynamics 365 Business Central as shown below.

Map Multiple Tables to SharePoint 

Conditional Table Mapping enables you to specify how you would like to map data from one table in Dynamics 365 Business Central to multiple tables in SharePoint, as you may want to split data up into multiple folders. For example, data such as sales quotes, sales orders, and sales invoices, all reside in a single table in Dynamics 365 Business Central, but you may want to map these to multiple SharePoint folders to split up the data by information type.   

 Multi-Site Mapping to SharePoint 

The SharePoint Connector also facilitates multi-site table mapping from Dynamics 365 Business Central to SharePoint. You may have multiple document libraries and more than one SharePoint site – perhaps one for Finance and another for Sales. You may want to map certain pieces of data from within Dynamics 365 Business Central to specific SharePoint sites.

2. Generate Sales & Purchase Documents with the SharePoint Connector  

Imagine being able to create PDFs of sales and purchase documents without leaving Dynamics 365 Business Central? Imagine no more! Follow these three simple steps to get the SharePoint Connector to do it for you: 

  • Navigate to the ‘SharePoint Setup’ from within Dynamics 365 Business Central and turn on ‘Auto-Upload Sales Documents’. 
  • Navigate to ‘SharePoint table mapping’ within Dynamics 365 Business Central and ensure that your customer table and your sales invoice header table are mapped so that the SharePoint Connector knows where to place the document. 
  • Navigate to ‘Report Selection Sales’ and ensure that there is at least one report defined as your invoice report. 

Once the above three steps are complete, you can navigate to the sales order for which you wish to create a PDF. Next, post the sales order and ship the invoice.  

To ensure there is no impact on Dynamics 365 Business Central system performance, the SharePoint Connector starts a background session on Microsoft servers to produce the PDF of the invoice.   A few seconds later, the PDF of the sales invoice appears in the specific customer’s order folder – This is exactly how the SharePoint Connector creates PDFs of sales documents! To create PDFs of purchase documents, simply follow the same steps above.

3. Seamlessly Generate Reports & Documents with the SharePoint Connector 

The SharePoint Connector enables you to generate customized reports and documents in multiple formats (e.g., Word, PDF, etc.) from Dynamics 365 Business Central within a couple of clicks, saving it to the relevant customer’s folder in SharePoint.  

Simply follow the steps in this video to see how you can customize templates and select specific layouts to seamlessly create reports and documents from within Dynamics 365 Business Central, which are then saved to the corresponding SharePoint folders. 4. Track & Manage Document e-Signing Directly from Dynamics 365 Business Central with the SharePoint Connector 

The SharePoint Connector supports both Adobe Sign and DocuSign for sending documents that need to be e-signed. This enormous time-saving and environmentally friendly feature makes it very easy to send documents for e-signing, monitor the signing status, and e-manage signed documents – all without leaving Dynamics 365 Business Central.

Along with the document that needs to be e-signed, you can also include additional supporting documents to send to the recipient(s). Simply enter the recipients’ details in the SharePoint Connector e-signing pop-up and hit send to send the document for e-signing through Adobe Sign or DocuSign from within Dynamics 365 Business Central. 

As soon as the ‘send’ for e-signing button is selected, the recipient(s) will receive an email notifying them of a request to e-sign a document and you can track the status of the document to see where it is in the process (i.e., sent, out for signature, etc.). As soon as the document is signed, the status will automatically update to ‘Signed’, enabling you to easily track the status of documents. 

5. Conveniently Print Documents with the SharePoint Connector 

A BONUS feature in the SharePoint Connector App is that SharePoint can become a cloud printing destination enabling you to print documents directly to SharePoint.  

Simply search for a report in the SharePoint Connector App in Dynamics 365 Business Central and once you locate the report, click ‘Print’. Then navigate to SharePoint to locate the file that was just printed. Navigate to your ‘Documents’ library where you’ll see a new folder called ‘Print’. Within this folder, you’ll see the report that was just ‘printed’, saved with the report name and a timestamp. Each user that prints documents to SharePoint using the SharePoint Connector will get a unique print folder.  

This feature provides a quick way to convert a report in Dynamics 365 Business Central to a file and save it in SharePoint. Another use case for this feature is the ability to combine it with automation. For example, if Power Automate is set up on SharePoint to monitor the ‘print’ folder, it can be configured with an action so that the system reacts when a report is printed to the SharePoint folder using the SharePoint Connector.  

6. Expand the Reach of Dynamics 365 Business Central Data by Adding Metadata with the SharePoint Connector 

The SharePoint Connector enables users to enrich documents that are going to SharePoint with extended metadata columns. Given that we are unlocking data in Dynamics 365 Business Central by exposing documents with the SharePoint Connector, there is an opportunity for other systems to use these documents. These other systems may need some additional data to understand how to use these documents and that’s where this SharePoint Connector metadata feature comes in. 

To do this, simply navigate to SharePoint table mapping in Dynamics 365 Business Central and click on the table you wish to add metadata to. For example, navigate to the Customer table, then select ‘Metadata Columns’ under the ‘more options’ tab. Next, select the field which you would like to become a column/field in SharePoint (e.g. phone number’) and give it a name (e.g. BC_Phone). Once you’ve added the column/field to SharePoint, a confirmation will appear letting you know that it has been added to SharePoint. 

After, navigate to SharePoint and navigate to the folder that corresponds with the mapped customer table. Edit the column view within the SharePoint folder and you will see the addition of the ‘BC-Phone’ field that was just added to the customer table via the SharePoint Connector. The ‘BC_Phone’ field can then be selected to appear in the SharePoint folder view as shown below.

7. Quickly Transfer Attachments to SharePoint with the SharePoint Connector 

The SharePoint Connector enables you to quickly transfer attachments from the ‘attachments’ section of Dynamics 365 Business Central in just a few clicks. Don’t worry, the attachments are replicated from Dynamics 365 Business Central to SharePoint and continue to remain in Dynamics 365 Business Central unless you wish to manually remove them.

SharePoint Connector 2.0’s Release Enhancement  

Aside from an all-over product update and many enhancements to the SharePoint Connector App, below are some specific updates that we made to the latest version of the SharePoint Connector App:  

  • Support for personal authentication to SharePoint is now available with the SharePoint Connector. Each user’s SharePoint permission is reflected in Dynamics 365 Business Central. 
  • Support for alternative table mapping for a single table is now available with the SharePoint Connector. Support for tables with multiple purposes is also now included. 
  • Support for multi-site setup is now available with the SharePoint Connector. Different tables can now move to different SharePoint sites. 
  • Support for Device Code authentication is not supported, making app registration unrequired and facilitating an easier setup.  
  • The SharePoint Connector now supports the transfer of existing attachments in Dynamics 365 Business Central to SharePoint. 
  • The SharePoint Connector now provides default table mapping setup for easier onboarding.
