Many organizations utilize SharePoint and Dynamics 365 Business Central side by side for data and document management. Unfortunately, the two platforms don’t fully integrate, meaning it can be a time-consuming process to keep them both organized and up-to-date.

New SharePoint Connector Feature: Request an E-Signature Directly from Dynamics 365 Business Central

Along with SharePoint Connector’s many helpful features, we are excited to announce that it now supports both Adobe Sign and DocuSign for sending documents to be e-signed. This new feature makes it easier than ever to send documents to be signed, monitor the signing status, and manage signed documents, all without leaving Dynamics 365 Business Central.

SharePoint Connector - e-signing request sent from Dynamics 365 Business Central

Thanks to SharePoint Connectors e-signing feature, you can create documents from templates e.g. contracts, schedules, SLA’s etc. that can be edited in Microsoft Word Online as required. Once you have your document ready for signing, simply select the ‘e-Signing’ option within the SharePoint Connector App in Dynamics 365 Business Central.

This will open the SharePoint e-Signature window, where you can enter the name and email address of the contact that you wish to send the document to for signing. Once you have entered their details, select ‘Send to Adobe Sign for signature.’ The document will automatically be sent via Adobe Sign to the contact’s email address for e-signing.

On top of conveniently sending documents for e-signing, you can also track the status of the document from within Dynamics 365 Business Central thanks to the SharePoint Connector. For example, after you have sent the document for signing, the Adobe Status will update to ‘Out for Signature’. Once the document is signed, the status will automatically update to ‘Signed’, making it as easy as possible for you to keep track of the status of documents.

Meet SharePoint Connector App Users: Ride Designs

Ride Designs manufactures seating systems such as wheelchair cushions and back supports. Many of its products are custom designed for its clients, meaning Ride Designs works with a considerable number of files within its organization. Therefore, file management is crucial and central to managing everything Ride Designs does as a business.

To create custom designs, Ride Designs takes a 3D scan of its clients which needs to be stored and connected with the relevant order. When implementing Dynamics 365 Business Central just over a year ago, Ride Designs searched high and low for a solution that would allow them to achieve this. Finally, Ride Designs discovered EFOQUS and quickly realized that the SharePoint Connector App was the best way to go.

SharePoint Connector has allowed Ride Designs to organize and connect the details of every order in both SharePoint and Dynamics 365 Business Central. They can simply drag and drop the files submitted directly from Dynamics 365 Business Central to be stored securely in SharePoint. In the two months since using the SharePoint Connector, Ride Designs has uploaded over 26,000 files to SharePoint without leaving Dynamics 365 Business Central!

In the words of Kyle Bieganek, IT Manager at Ride Designs:

It’s not necessarily the software that matters most, but the support that you get from the company that publishes the software. EFOQUS has been really responsive. We have had a couple of challenges regarding our company’s needs, and they have helped us out, which is so important. We’ve had a great experience so far!”

Metadata is very important if you are doing work on the SharePoint side. The SharePoint Connector app will allow you to customize the Metadata, whether it’s customer data, phone numbers or email addresses.

Does SharePoint Have the Space to Store the Files?

SharePoint has played many roles over the years. It started as an Intranet building system and although it still has the functionality to be used in this way, it is also the foundation for file storage in Microsoft 365, including Microsoft Teams, OneDrive and OneDrive for Business.

Does the SharePoint Connector App Also Work on Dynamics 365 Business Central On-Premises?

Yes, the SharePoint Connector App works on Dynamics 365 Business Central on-premises from version 16 and onwards.

Can you use the SharePoint Connector with Dynamics 365 Business Central Customizations?

Yes, everything is available to use by developers with custom code, so if you want to integrate any functionality and add SharePoint to that, then SharePoint Connector is here for you – that’s what it was made for!

What is the Location of File Storage with the SharePoint Connector App?

Files will follow your Office 365 tenant. So, they will sit in the same place as your emails and data associated with your Office 365. If, for example, your organization is based in Canada and your Office 365 tenant is in Canada, then any documents stored using the SharePoint Connector will also be stored in Canada.

Is it Possible to Provide Certain Users with Read-only Rights to SharePoint documents from within Dynamics 365 Business Central through SharePoint Permissions on the Library or Folder?

No, unfortunately, it’s not that simple! To be able to do this, you would need to develop a customization.

Can the SharePoint Connector App be Implemented in All Versions of Dynamics 365 Business Central?

The SharePoint Connector is available for Dynamics 365 Business Central on-premises for Version 16 and above. The cloud version is kept up to date and is always available on the latest version of Dynamics 365 Business Central.

Is it Possible to Link Different Dynamics 365 Business Central Record Types to Different Document Libraries or Even to Different SharePoint Sites? Or Does it All Need to be in the Same Document Library?

Unfortunately, this is not possible right now, but it is on the SharePoint Connector roadmap for the future. There is a “hack” that can accomplish 80% of it, so if you would like more information on the interim solution, don’t hesitate to get in touch at info@efoqus.ca

What’s the Difference Between the ‘Attachment’ Box and the ‘SharePoint’ Box?

The Attachment box is the built-in document library stored in the Dynamics 365 Business Central database. The SharePoint box isn’t connected to that. Currently, developers have no control over the attachments box as it is hardcoded by Microsoft.
